This notice explains how Q The Vacation LLC collects and handles information through this website and related travel-planning communications. Our goal is to collect only what helps us respond, plan, document authorized services, and operate the business securely.
1. Information we collect
Information you provide
We may collect your name, email address, phone number, number of travelers, vacation interests, general travel dates, approximate budget, and the planning details you choose to share. When QTV prepares a client agreement, we may also collect trip and file details, agreement choices, acknowledgements, typed legal names, and electronic-signature consent. Later in the planning process, traveler, passport, identification, loyalty-program, emergency-contact, and accessibility information may be collected through a specifically issued QTV Secure Information Center link or another approved secure client system.
Information collected automatically
Essential hosting and security systems may receive an IP address, browser and device information, referring page, request time, timestamps, and similar technical or security-reference data. Agreement and Secure Information Center records may include completion and access timestamps, the acting account, browser information, and a limited network reference used to document and protect the transaction. QTV marketing emails may use a small remote image and tracked QTV links to estimate message opens, record link clicks, honor unsubscribes, and understand resulting website visits. When you arrive through a QTV referral-partner link, the site may save the referral code and date in first-party browser storage so the source remains attached if you browse before submitting a Planning Request. Open information is approximate because email providers may preload or block remote images. Optional general-website analytics are not included on the Secure Information Center page.
Sensitive information
Do not send passport information or images, complete payment-card numbers, security codes, medical records, or other highly sensitive information through ordinary email, text, the planning-request form, or any general website page. Traveler and identification information should be provided only through a QTV Secure Information Center link or another approved secure traveler system. Full payment-card numbers and security codes must be provided only through Travefy, a QTV-issued Novo or Stripe payment page, or the supplier's approved payment system. QTV supplier-payment authorization records contain only a card brand and last-four reference.
2. How we use information
- Respond to inquiries and provide requested travel-planning services.
- Prepare and administer client agreements, quotes, reservations, changes, cancellations, and support.
- Communicate required service information and, only with separate consent, optional marketing.
- Protect accounts, forms, records, website availability, and business operations.
- Comply with legal, accounting, insurance, host-agency, and supplier obligations.
- Understand website performance when optional analytics are enabled.
3. When information is shared
We share information only as reasonably necessary for the requested service, business operation, or legal requirement. Recipients may include Legato Travel and MontisPRO; travel suppliers; Google Workspace, Gmail, Sheets, Docs, and Drive for agreement administration, record storage, PDF generation, and email delivery; Cloudflare hosting and encrypted database services; Google Analytics on eligible general website pages; Novo; Stripe; insurers or licensed insurance producers; professional advisers; and authorities when required by law. Secure Information Center payloads are not included in notification email or general website analytics. Each third party may process information under its own terms and privacy notice.
QTV does not sell personal information and does not currently use targeted advertising or audience sharing.
4. Cookies and privacy choices
Essential technologies support security, page delivery, saved privacy preferences, and first-party referral-source continuity when you choose to visit QTV through a referral link. Optional analytics or advertising technologies remain disabled unless they are configured and you allow the relevant category. Use the control in the footer at any time to review or change your selections.

Browser controls may also remove stored data. If QTV later enables targeted advertising or audience sharing, this notice and the available privacy controls will be updated first.
5. Retention and security
We retain information only as long as reasonably necessary for service delivery, agreement and transaction records, disputes, legal requirements, insurance, accounting, and legitimate business needs. Secure Information Center records use expiring single-use links, application-level encryption, restricted advisor access, access history, retention controls, and secure payload deletion. Completed agreement records and PDFs may be stored separately in restricted Google Workspace and Drive locations and delivered by email to the parties. Retention varies by record type and provider. No transmission or storage method is completely secure.
6. Your choices and rights
You may ask to access, correct, or delete information QTV controls, or withdraw optional marketing consent, by contacting us. Every QTV marketing email also includes an unsubscribe link that updates the QTV mailing list automatically. Unsubscribing from marketing does not prevent necessary service messages about an active inquiry, agreement, reservation, payment authorization, or trip. Applicable state law may provide additional rights to know, correct, delete, obtain a copy, or opt out of certain uses. We will verify requests and respond as required. These rights are not absolute, and records may be retained when legally or operationally necessary.
7. Children
This website is not directed to children under 13, and QTV does not knowingly collect their personal information through the public inquiry form. An adult arranging family travel should provide only the information necessary for planning and use the secure traveler-information process when requested.
8. International processing and links
Providers and travel suppliers may process information in other states or countries, subject to their safeguards and applicable law. External websites and embedded services have separate privacy practices; review them before providing information.
9. Updates and contact
We may update this notice when laws, vendors, features, or business practices change. The version and effective date above identify the published notice. Privacy questions and requests may be sent to info@qthevacation.com.
